Missed-call text-back
Missed-call text-back for UK private clinics
We build missed-call text-back for UK private clinics as the first step of our lead conversion system. When a call goes unanswered, a text can reach the caller within seconds, from a number they can reply to. An AI text assistant can then help them book, or pass them to your team with a summary. Anything clinical will go to your team.
What it is
What missed-call text-back will do for your clinic
Missed-call text-back sends a short text to a caller your team couldn't answer, within seconds of the call. They can reply when it suits them, rather than ringing again.
We build it for dental practices, aesthetics, hair transplant and other private clinics. If you're looking at missed call text back for a dental practice, here's how it could work. This is an illustration, not a real call or patient.
Picture 17:50 on a Wednesday. Your last patient is in the chair, reception is busy and a new caller rings. Within seconds, they'll get a text saying who it's from, sorry we missed the call, and how can we help.
They reply to ask about dental implants. Your AI text assistant will say it's an AI, ask when suits them and, where your booking software allows, offer a consultation, say Monday at 09:15. Otherwise your team will get the details with a summary.
Sound familiar?
The calls that slip through
Phones ring at the busiest moments.
The phone rings mid-appointment
Your team can't step away from a patient. By the time they're free, the caller has gone.
Few people say they'd leave a voicemail
In a June 2026 YouGov poll of 2,046 UK adults, commissioned by a call-answering company, only 6% said they'd leave a voicemail rather than wait for an answer (poll results). It asked about businesses in general, not clinics.
Evening and weekend calls
Someone rings after work or on a Saturday and reaches your closed message. Their question waits until you're open.
Callbacks that come too late
When your team rings back, the caller may not recognise the number, or may have booked elsewhere.
How it works
From missed call to booked consultation
Here's the path we build for your clinic.
The call goes unanswered
Your lines are busy, or you're closed. You choose when the text-back runs. Not sure how many calls you miss? Our free lead leak audit shows where calls and messages slip through.
A text within seconds
The caller will get a short text from a number they can reply to, saying who it's from and asking how you can help.
An AI text assistant carries on
When the caller replies, it will say it's an AI, then ask what they're looking for and when suits them.
Booked or handed over
Where your booking software allows, it can offer a time and book the consultation, or send a booking link once the caller has replied. Otherwise it will pass the enquiry to your team with a summary.
Follow-up, with an easy opt-out
If they don't book straight away, SMS and email follow-up can carry on until they book, opt out or say they're not ready. Each message will include an easy opt-out, and we set it up around your clinic's lawful basis.
Your words
What the first text says, and what it never says
The first text goes to whatever number rang. That phone might be shared, and the caller might not be the patient.
NHS England's guidance says texts can be read by anyone with access to the phone, so they shouldn't contain sensitive information (NHS England Digital). It's written for the NHS, not private clinics, but we follow it as good practice.
The first text will:
- say who it's from, in its first words
- apologise for the missed call, and ask how it can help
- invite the caller to reply, or give your number to call
- say how to opt out, such as replying STOP
It will never include:
- health or treatment details
- a link (NHS England notes that patients are wary of links in texts because of scams)
- offers, prices, countdowns or medicine names
It will fit in one text (up to 160 characters), and you approve the wording before anything goes live.
Part of the system
Step one of our lead conversion system
A text only starts the conversation. That's why we build missed-call text-back as step one of our lead conversion system, not as stand-alone missed call automation. The same system will reply to web forms and ad enquiries, qualify and book by text, and follow up for 30 days.
Some clinics would rather have calls answered live. If that's you, an AI receptionist for your clinic can answer by voice when your team can't. Not sure which suits you? Read our guide to missed-call text-back vs an AI receptionist.
The rules that never change
What's fixed in every setup
Every text-back we build will follow these rules, in wording you approve. Some rules differ between England, Scotland, Wales and Northern Ireland, so the wording should reflect where your clinic is.
It says it's an AI, and hands over on request
The AI text assistant will say it's an AI in its first reply. A caller can ask for your team at any point, and it will pass them to your team, or let your team know to get back to them.
No medical advice
Questions about symptoms, side effects, suitability or aftercare will go to your team. For fertility clinics, questions about treatment options, chances of success or costs will go to your team. It won't try to work out what's wrong.
Your urgent-care message, the same way every time
If someone says it's urgent or describes a symptom, it will give your clinic's own message, in your words. For example, your practice's emergency and out-of-hours arrangements, contacting their GP, or "in an emergency, call 999". It will never judge how urgent anything is, and will offer a booking only if asked.
An 18+ question before cosmetic bookings
Before booking an aesthetics or other cosmetic consultation, including teeth whitening and anything you treat as cosmetic, it will ask the person to confirm they're 18 or over. It can't verify age, so your team still checks at the consultation. Laser eye is different: questions about age will go to your clinical team.
No prescription-only medicines
It will never name them, and will use consultation-led wording, such as "a consultation for lines and wrinkles". Questions about medicines will go to your team.
No pressure
No countdowns or offers that expire, and every opt-out will be honoured.
What it needs
Phone systems, landlines and withheld numbers
Missed-call text-back usually needs a cloud phone system: one that can tell when a call isn't answered and trigger a text. We check yours as part of the audit.
The text will come from a number the caller can reply to, because the AI text assistant needs their reply, and its first words will name your clinic. Whether that can be your clinic's own number depends on your phone system.
Callers in the UK have the right to withhold their number, so a text-back can't reach them (Ofcom). Landlines usually won't get a text either. Those callers will still hear your voicemail and your clinic's own message.
Your data
Texting patients: consent, opt-outs and data
It isn't settled how UK electronic marketing rules (PECR) treat a text sent after a missed call. The ICO says a message that includes any marketing counts as marketing, even if that isn't its main purpose, and a neutral tone doesn't necessarily change that (ICO guidance). Later follow-up messages that encourage someone to book are likely to count as marketing.
So we set it up around your clinic's lawful basis. The ICO says marketing messages must not hide who they're from, even ones people asked for, and a text can offer a free opt-out, such as replying STOP (ICO). We build both into every text, including the first.
Enquiries often include health information, which has extra protection under UK data law. We'll sign a data processing agreement with your clinic before anything goes live, and collect only what's needed to book.
Before go-live, check the setup with whoever handles data protection for your clinic. This isn't legal advice.
Next step
Start with your free lead leak audit
Start with our free lead leak audit. We enquire like a patient by phone, through your website and on the pages your ads lead to, and time every response. Then we estimate what lost enquiries cost you, using your own numbers.
Carl Ashfield, Flovio's founder, does every audit himself, and checks your phone system as part of it. If missed-call text-back would help, we'll say so. If it wouldn't, we'll say that too. We price after the audit, once we can both see the return.
Questions clinics ask
How does missed-call text-back work?
When a call goes unanswered, your phone system will trigger a text to the caller within seconds. If they reply, an AI text assistant will help them book or pass them to your team.
Does it work with our phone system and landlines?
It usually needs a cloud phone system, and we check yours as part of the audit. A text can't reach a withheld number, and landlines usually won't get one. If many of your calls are like that, an AI receptionist may suit you better.
Who replies when the caller texts back?
An AI text assistant, set up around your rules, or your team. You choose when your team takes over, and any caller can ask for a person.
Is missed-call text-back legal in the UK?
We can't give a simple yes or no. It isn't settled how UK electronic marketing rules (PECR) treat a text sent after a missed call, and later follow-ups are likely to count as marketing. We set it up around your clinic's lawful basis, with an opt-out in every text. Check with whoever handles data protection for your clinic. This isn't legal advice.
Can it book into our diary?
Where your booking software allows it. Otherwise it will hand each enquiry to your team with a summary. We'll check which applies before we agree the setup.
How long does it take to set up, and what does it cost?
We do the setup, and it can be live in about 3 weeks. We price after the audit, once we can both see the return.
